Financial Aid Refund Checks

It has been a few weeks since my last blog post which can be directly attributed to the rush of Fall registration. Over the past few weeks I have been getting numerous comments and questions every day through this blog that pertain to financial aid. These comments have been wonderful and I am very appreciative for all of your feedback. Recently though, the vast majority of these comments have surrounded one topic: REFUND CHECKS. This is the time of year for financial aid refund checks to go out so I wanted to shed a little light as to how these checks work.

The basic concept is that if you are awarded financial aid over and above what your tuition costs are, you may be eligible to receive that overage in the form of a refund check, which you can then use to cover other educational expenses (IE. housing, transportation, textbooks, personal expenses). Many of you may be wondering if you have a refund check available. The simplest way would be to consult your award letter. If you have awards showing on your award letter that total up to more than your tuition costs are, more than likely, you will receive that amount in a refund check. You also can check your account summary on Campus Cruiser which will show an updated amount of a refund. It is important to note, that not all types of aid are able to be refunded to students. Lottery tuition assistance can only be used to credit tuition and many scholarships have a stipulation that they cannot be refunded to the student. The majority of students who receive some form of a refund, do so by obtaining a student loan. Student loans are processed differently than grant and scholarship aid and therefore, the refund checks are also processed differently. Scholarships and grant aid are automatically applied to student accounts on our disbursement date which is 9/8/09 for the Fall 2009 semester and 2/1/09 for the Spring 2010 semester. Loans are also disbursed on that date, but only if they have been certified. The certification process takes 4-6 weeks from the date that you turned in your award letter. When we certify a loan we send a request to the lender that you have chosen, and request the loan amount that you have signed for on your award letter. Once the money is released from your lender, those funds come to us and we then transfer those funds to our business office for them to process a refund check.

Our business office legally has 10 business days to process a refund check. This means that even after your financial aid has been credited to your account, it may still be up to 2 weeks before your refund is actually mailed out or direct deposited. Our business office sends out refunds every Friday. For the Fall 2009 semester the first batch of refund are slated to be sent out on September 18th, 2009. Refunds will be sent out every Friday after until the end of the semester.

  4. Unfortunately, our business office does not allow student to pick up refund checks in person. If you would like to sign up for direct deposit, that would be the quickest way to gain access to your refund.

  5. I have mine on direct deposit, so it should be there tomorrow right? I have school immunizations (I am a health science major) and equipment (massage table) to buy ASAP. My doctor's appointment is on Tuesday. Please let me know or should I just call?

  7. I received my financial aid letter on 9/10.I returned it on this Monday. I have student loans to be disbursted..when should I expect a loan refund?

  8. It takes approximately 4-6 weeks for a loan to be certified once you turn in your award letter. Please make sure that you have completed a session of entrance loan counseling and completed a Master Promissory Note with your chosen lender.

  9. I received the remaining balance of my pell grant, but did not receive my student loan yet in my checking account today. Why would that happen?

  10. This has probably happen because grant and scholarships are awarded differently than loans. Grants and scholarships are automatically awarded to student accounts, while student loans have to go through a 4-6 week certification process. Many student's receive two separate refunds because their loans are certified after their grants have already been refunded.

  11. I have received my official award letter, and the refund is showing in my school account. The blog has stated several times that it is a 4-6 week certification process. Mine has been over 2 months, and I did not receive the refund by direct deposit today. I would rather know that you guys are so far behind processing things, than to rely on the information and expect it to be there. I waited two hours last week to talk to someone in your office to get an exact day for the refund. I was told that your office is still working on the files from the end of July, but according to your blog that was complete last week. Would someone please just tell me what is going on?

  13. Are we able to call and find out the status on the offical award letter? I turned in my preliminary letter on Aug. 4th, so it has been 6 weeks.

  15. I returned my signed award letter to Financial Aid on August 4th and from what I understand the Financial Aid office is processing refund checks according to the dates the award letters were received. When will the refund checks be process for the award letters received that week?

  17. We have already processed loans that were requested on August 4th. So your refund check should go out within two weeks.

  18. It does take 4-6 weeks for a loan to be certified. Then a request is sent to your lender and they respond by sending the funds electronically to the school. once we receive the fund we transfer them to our Business office. Our business office has up to 10 business days to create refund checks. This is why it may take up to 2 weeks longer for the actual refund check to be released.

  19. I had to go through verification and I didn't recieve my letter of award until two weeks ago and I signed it and turned it in the same day. I was told it would take 4-6 weeks from that time I signed it and turned it in to get a refund but they said that there were more delays and don't know when refunds will go out. I don't understand why. Please help.

Hey i have a question i dont if you can help me but i hope so i had my refund sent to my checking account and then my check book got stolen so i had to close mt checkng account and open a new one. I got an email saying that my refund was sent to my checkig acccount i want to know what do i do now cause it will go back to the busniess office i put in my new account online as of today is there anyway to tell me what i need to do please. Thank you

  24. I submitted my application for student loans via email on August 13. I emailed the loan officer to ensure that it was receive. I was told it was received but when I call finanicial aid I'm told there's no information showing that I applied for a student loan. What do I need to do next?

  25. If you turned in your award letter on Aug 12th, then your loans should be certified and you should be expecting your refund check either this week or the next.

  26. Regarding your closed checking account; I would speak with our Business Office regarding your Direct Deposit. If the deposit was returned by your bank, then our Business office should be able to re-route that deposit to your new bank as long as you enter the correct account number and routing number on your Campus Cruiser. However, I would strongly urge you to speak with our Business Office to confirm the status of your refund. They can be reached at 864-250-8035.

  27. I would recommend that you contact the officer to whom you sent your loan request. They should be able to give you the most accurate update on your loan certification status.

  28. Hi. I have two questions. I just put my account info on here for direct deposit. If my checked is mailed out tommorow is that too late for the direct deposit? Secondly, i turned in my Official Award letter on monday but i dont have to wait 4-6 weeks do i? because i talked with someone a few weeks ago and she told me i shld have my loan check in 2-3 weeks which would mean this week?

  29. Regarding the direct deposit. I believe that your direct deposit information was not entered soon enough. I believe that they need to have time to submit a test deposit before they actually send the real deposit, so you should get your check via USPS mail. Also, the Official award letter is just for information purposes. It will not delay the delivery of your refund check in any way.

  31. I have a question that doesn't really have to do with financial aid refunds but it does relate to financial aid itself. I have a student loan and am taking 7 credits this semisters. All of my classes are online, which I have found I am not designed to take online classes. I can't seem to stay caught up and would rather drop the one that I am furthest behind in and concentrate on the other one. My question is what, if anything will that do with my loan? Dropping that class will leave with 4 credits this semester. Thank you.

  32. There are specific deadlines for student loans to be processed. If you are requesting a loan only in one semester ( for instance a Fall09 only loan) then the deadline is a few weeks before the end of the semester. If you are requesting loans over a Fall/Spring semesters or a Fall/Spring/Summer semesters, then the deadlines are the end of the academic year in June. Please contact our loan department at 250-8057 for updated deadlines as they are created each semester.

  33. I signed and accepted the amounts available on my "Notification of Financial Aid Award", and submitted it in person before the fall semester started, with all the appropriate areas filled out. Why am I receiving the exact same letter in the mail (a blank copy), with a return envelope to Greenville Tech?

  36. We are aiming to be completely caught up with loan certifications as of this coming Monday 10/12/09. If your loan has not been certified as of that date, please contact our office because there may be a problem with your certification.

  37. If I have a studentloan for Fall/Spring/Sum semesters, and it has obviously been verified b/c of my refund from the Fall semester, when can I expect the refund for the remainder of the loan?

  38. The disbursement date for the Spring 2010 semester is 2/1/2010. The disbursement date for the Summer 2010 semester is 6/7/2010. You should receive your refund check about two weeks after these disbursement dates.

  39. I'm not a new student, but I do always forget the ratio of disbursement date to refund deposit date. If I have financial aid properly in place, and have elected to have my refund direct deposited, and the Spring 2010 disbursement date is 2/1/10, does that mean that I must still wait until Friday 2/12 for the earliest possible deposit of my funds, or would it come as early as Fri. 2/5, the same week of the disbursement? I am asking because my husband has been laid off since Christmas week, and the arrival date of these funds is very important, since we have bills that are due, and we are trying to negotiate with everyone on a date when we can be caught up on payments we owe.   41. How do I know if my loan has been certified? They say it will disbursed on 2/1/10. Does this mean I should get my refund on 2/12?

  42. You are correct! Once you receive your Official award letter, you will know that your loan has been certified.

    The first refund should be mailed out on 2/12/10.
